Disclosure: This page is written by The TaskFire Team. We make TaskFire, one of the two apps compared here, so we have an obvious interest. We’ve tried to be fair: competitor facts come from the competitor’s own website or help pages, each with a source link below, and we say plainly where Apple Reminders is the better choice. Prices are in US dollars and were checked in October 2026.

The short answer

Apple Reminders is free, already on your iPhone, iPad and Mac, and now has Smart Lists, tags and shared lists. For many people it’s all they need, and we’d say start there. TaskFire is worth a look if you want start dates and due dates, notes and comments on tasks, a Teams plan with admin billing, or a fuller web app. Neither runs on Android.

Pricing

Apple Reminders is free and comes with every iPhone, iPad and Mac. There’s nothing to buy.

TaskFire has a free Basic plan with tasks, checklists, reminders, notes, comments and free syncing, capped at 50 active tasks and 3 active lists, with one reminder per task. Premium costs $2.99 a month or $30 a year (about $2.50 a month) and removes those limits. It adds tags, Smart Lists, recurring tasks, location alerts, Siri and Siri Shortcuts, list sharing, task assignment, adding tasks by email, Google Calendar and Slack integration, up to 10 reminders per task and 1 GB of attachment storage. Teams costs $4 per user per month (or $40 per user per year) and adds centralized billing, a team admin dashboard and priority support. New accounts get 14 days of Premium free, and you can cancel at any time.

Bottom line: Reminders wins on price. TaskFire only makes sense if you need something it adds.

Platforms

Reminders runs on iPhone, iPad and Mac, and you can create, complete, search and share reminders and lists in a browser at iCloud.com. The iCloud.com version covers the basics rather than everything the apps do. There’s no Android app.

TaskFire runs on iPhone, iPad, Mac and the web, and one account syncs everything. TaskFire has no Android app and no native Windows app; on a Windows PC or Chromebook you’d use the web app.

Features

Reminders supports tags, grocery lists and custom Smart Lists that filter by tags, dates, times, locations, flags and priority, and it’s deeply tied into Siri and iCloud. Reminders can repeat, have early reminders, subtasks, notes, links and photos, and alert you when you arrive at or leave a place. You can also create reminders from the Calendar app. Smart Lists and tags only work for lists stored in your iCloud account.

TaskFire is built around lists and Smart Lists, which are saved filters that pull tasks together from every list. New accounts start with ready-made Smart Lists such as Important (starred), Next seven days and Assigned to you, and you can copy and edit them. When you type a task, TaskFire reads symbols in the text to fill in fields: brackets for a start date, parentheses for a due date, exclamation marks for priority, # for tags and a dash for the list name. Tasks can have start and due dates, three priority levels, notes, comments, tags, checklists, and repeat patterns based on either the due date or the completion date. You can also forward an email to create a task, with the email body saved as the task’s notes.

TaskFire’s extras over Reminders are things like separate start and due dates, comments on tasks, and a Teams plan with an admin dashboard. If none of those matter to you, stick with Reminders.

Collaboration

Reminders lets you share lists and assign reminders to people you share with, with an “Assigned to Me” Smart List. That’s plenty for most families.

In TaskFire, Premium users can share lists with Free and Premium users, assign tasks to people, and comment on tasks, with optional email notifications for new comments. The built-in “Assigned to you” Smart List shows everything that’s been handed to you. The Teams plan adds centralized billing and an admin dashboard. You can also invite outside collaborators to your lists for free. TaskFire’s comments, email notifications and Teams admin dashboard are aimed at groups that need more than a shared list.

Who should pick which

Pick Apple Reminders if: – You want a free app that’s already on your devices. – Your family all use iPhones and you just need shared lists. – You use Siri and iCloud heavily and don’t need extras.

Pick TaskFire if: – You want separate start and due dates, or comments on tasks. – You want a web app that’s built for your to-do list, not just basic access. – You run a small team and want centralized billing and an admin dashboard.
